Hollywood C.E., s.r.o. is a leading film distributor in the Czech and Slovak Republics. It specializes in the acquisition and selling of film rights, film production and distribution, purchasing, production and selling of DVDs and VHSs via various channels, including mail ordering and operation of the Atlas movie theater and café. Hollywood C.E. has been using the TWIST INSPIRE ERP software since August 2006.

Initial situation

Considering the wide range of operations, the company had to use several different systems: an accounting system, inventory system, DisFilm distribution software, and cash management system for the café. The systems were not interlinked, the outputs and reviews generated by each system were printed out, and inputted manually to the accounting system. HCE’s accounts are kept by an external accountant, and as such it was necessary to close the accounting regularly and supply the data obtained to the accountant. Statistics which the company is required to submit to its suppliers were compiled from several sources and processed manually in MS Excel.

Objectives of TWIST INSPIRE’s implementation

The basic requirement was to create an information system which would communicate with all the applications that the company needs for its operations, and which would concentrate and evaluate all information about the company’s activities. Another requirement was that the information system must be fast, as the previous system, despite the company’s good hardware equipment, was very slow, especially as the data volume increased. The migration to the new system was supposed to be fast, and all the data were expected to be converted. Last but not least, the company demanded good and easily accessible IS support.

TWIST INSPIRE’s implementation

The standard version of TWIST INSPIRE ERP was able to cater for nearly all needs of the company, and adjustments were needed only in relation to the large volume of mail orders, and the option of searching by name had to be integrated as the company did not use codes and needed to find movies according to the Czech but also the original titles. In regard to potential benefits for the existing and prospective clients, these modifications were performed out of charge and incorporated into the standard version.

Our efforts focused on a fast transition to the new system and interlinking the IS with the applications of DisFilm and the café’s POS. In the first stage, the number series of the inventory and accounting systems were transferred, business forms modified, and a training version created, used for the purpose of employee training. In the second stage, the balances of all inventory records were converted, and the business section of the system launched, including an import of source information for invoicing from the DisFilm system and from the Atlas café’s POS system. In the third stage, the accounting data from the previous system were converted. The entire transition was very smooth, and the company was able to maintain its regular operation.

Implementation timing:

  • beginning of June 2006 – the contract is signed
  • June 2006 – an analysis of operations and data flows is performed
  • July 2006 – data are converted, programs modified
  • end of July 2006 – user training
  • August 2006 - the business section of the system is launched
  • August 7, 2006 – the main stock and financial section of the system are launched
  • August 15, 2006 – the system is introduced in the Atlas movie theater, including interlinking with the POS
  • August 21, 2006 – importing from the DisFilm application is possible
  • September 1, 2006 – the entire system, including all data transfers, is fully functional
